Position Overview:

As the Administrative Support Specialist, you will report directly to the Chief People & Legal Officer, and you will be responsible for providing administrative support for our leadership team and overseeing the growing Chicago office. The candidate will be able to effectively coordinate meetings, manage calendars, support event planning, coordinate administrative HR functions, and undertake other day-to-day tasks typical for an office coordinator or administrative assistant role. They should also possess a friendly demeanor so they can effectively interact with external counterparties, business partners, office visitors, potential interview candidates and generally represent the company in a favorable manner. Your support will be pivotal to SunVest’s ongoing success, contributing to our sustainable growth strategy and the development of strategic plans for managing and improving renewable energy generation.

Key Responsibilities:

  • Provide comprehensive administrative assistance to the office and senior executives, ensuring efficient operation and support.
  • Manage the calendar for certain executives, including the CEO and COO.
  • If required, draft company-wide emails and communications.
  • Coordinate and organize office activities and events.
  • Oversee stock of office supplies, order computer equipment for new hires.
  • Facilitate the preparation and coordination of reports and presentations for executive meetings and stakeholder communications.
  • Implement and maintain organized filing systems, ensuring confidentiality and easy access to critical company documents.
  • Liaise with the IT department to resolve technical issues and maintain office equipment, ensuring minimal downtime.
  • Greet visitors at office.
  • Support the team in scheduling meetings, interviews and transport.

Qualifications:

  • Bachelor’s degree.
  • Innovative and adaptable, with excellent collaboration, organizational, and time management skills.
  • Proficiency in MS Office Suite and experience with virtual meeting platforms such as Zoom or Teams.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Experience in project management and executing office management strategies efficiently.
  • Friendly and upbeat demeanor.
  • Demonstrated time management skills, with the capacity to manage multiple tasks and adhere to strict deadlines; we appreciate candidates who can adapt to changing priorities without compromising the quality of their work.
  • A deep passion for the renewable energy sector and a principled approach to fostering sustainable energy solutions.
  • Comfortable with taking a collaborative approach to making suggestions that can improve existing processes; we value team members who are proactive in identifying opportunities for improvement and are eager to work with others to implement positive changes.
